Exhibiting Information

Thank you for your interest in exhibiting at the 2011 California Stormwater Quality Association (CASQA) Conference, which is being held at the Hyatt Regency in Monterey. The theme for this year's Conference is: “Stormwater Management: Practical Solutions to Changing Conditions”. 

 

 

The CASQA membership provides stormwater management services to over 21 million people in California and includes almost every Phase I municipal program and many of the Phase II municipal programs within the State. By exhibiting at the CASQA conference you are provided with a unique opportunity to interact with the key stormwater contacts throughout the state and to understand the critical issues and needs of the stormwater programs. The conference attendees look forward to interacting with the exhibitors each year since they have a diverse set of needs including consulting and professional services, public education and outreach, legal services, and pollution prevention and treatment best management practices. The conference provides the exhibitors with the opportunity to highlight the types of goods and services sought by the attendees and to identify new and innovative ideas.


We expect that this year’s conference will once again draw the most influential members of the stormwater community including local, state and federal decision makers, stormwater program coordinators, contractors, consultants, engineers, lawyers, scientists and planners. CASQA’s 2010 conference, which was held in southern California, drew over 450 attendees and exhibitor space was sold out again. Given the response at the previous CASQA conferences, early registration is strongly encouraged.

 

 

Based on the feedback that CASQA has received over the years, we have made improvements after each conference so that we ensure that the CASQA conference provides the highest possible value to our exhibitors. The enhancements that will be continued for the 2011 conference include (changes new to 2011 are shown in bold):

 Increased traffic to the Exhibit Hall

  • The exhibit hall is located immediately adjacent to the main conference space across from the Registration Area so that it is highly visible and the conference attendees have easy access to it;
  • All snacks and breakfast pastries will be served from the Exhibit Hall; and
  • Complimentary computer kiosks will be located in the Exhibit Hall to assist in increasing the foot traffic throughout the Hall.
  • Complimentary wireless access will be available within the Exhibit Hall so that you can continue to conduct core business during the conference as needed.
  • To make the best use of exhibitor time, the exhibit hall will open up at noon on Monday, September 26 (through 5:00 pm) so that CASQA Conference Workshop Attendees can also benefit from the Exhibit Hall.
  • A exhibitor sponsored drawing will be held just before lunch on Wednesday, September 28 to highlight the sponsoring exhibitors. This has been extremely successful the last two years.

Increased opportunities for a more relaxed interaction with potential clients

  • The Exhibitor Reception on Tuesday, September 27 will include music and lighting to assist in making for a more casual and cordial environment.

Options to track attendees and increase visibility

  • Option to rent badge scanners so that you can easily record contact information of potential leads;
  • Continuation of the Super-Premium exhibitor space containing larger booths located in high traffic areas of the Exhibitor Hall. Super-Premium exhibitors will also receive an advanced copy of the registration list and additional complimentary advertising during the Exhibitor Reception on Tuesday, September 27; and
  • Complimentary half (1/2) page ads in the Conference Program for Super Premium exhibitorsAll of these enhancements to our Exhibitor packages are being provided at or near cost. For this reason, our exhibitor rates have not increased substantially and continue to be the best value of any stormwater conference in California.

Exhibit spaces may be purchased by following the links below. You will be able to view exhibit spaces remaining for purchase and link to a layout that shows the location of each individual exhibit space within the exhibit hall. Once each space is purchased on-line it will be reserved and removed from availability.

All exhibit spaces are available on a first come, first served basis. In addition, multiple booths may be purchased and combined, if adjacent to each other, if additional space is desired.

CASQA member organizations receive a $300 discount on space reservation compared to non-members and a full Exhibitor registration with every booth purchase. In addition, a portion of each exhibit space fee is dedicated to the conference’s Exhibitor Sponsored Reception immediately following the first full conference day on Tuesday, September 27, 2011.


Each “Regular” exhibit space purchase ($1,600 non-member / $1,300 member) includes the following:

  • Single Booth - 8' background drape and 3' side drapes (blue) with a printed header sign that includes the company name and booth number
  • One (1) 6' draped table, 2 chairs, and wastebasket
  • Electricity (110v)
  • Complimentary computers in the exhibit hall
  • Listing in the CASQA conference program and on the CASQA conference website until December 31, 2011
  • One (1) full registration to the conference including proceedings. This includes attendance at the one-day workshop, attendance at the two days of technical sessions and lunches on all three days.
  • Two (2) drink coupons for the Exhibitor Sponsored Reception
  • CASQA Members Only - One (1) Three-day Exhibitor Registration (see below). This includes entrance into the exhibit hall and lunch on Monday, Tuesday and Wednesday.

Each “Premium” exhibit space purchase ($1,800 non-member / $1,500 member) includes the following:

  • Premium location within the exhibit hall
  • Single Booth - 8' background drape and 3' side drapes (blue) with a printed header sign that includes the company name and booth number

Each “Super Premium” exhibit space purchase ($2,500 non-member / $2,200 member) includes the following:

  • Premium location within the exhibit hall
  • Double Booth - 16' background drape and 3' side drapes (blue) with a printed header sign that includes the company name and booth number
  • Two (2) 6' draped table, 4 chairs, and wastebasket
  • Electricity (110v)
  • Complimentary computers in the exhibit hall
  • Listing in the CASQA conference program and on the CASQA conference website until December 31, 2011
  • Half (1/2) page ad in the CASQA conference program
  • Advanced copy of the CASQA 2010 conference registration list
  • Name/logo broadcast during the Exhibitor Sponsored Reception
  • One (1) full registration to the conference including proceedings. This includes attendance at the one-day workshop, attendance at the two days of technical sessions and lunches on all three days.
  • Five (5) drink coupons for the Exhibitor Sponsored Reception
  • CASQA Members Only - One (1) Three-day Exhibitor Registration (see below). This includes entrance into the exhibit hall and lunch on Monday, Tuesday and Wednesday.

Additional Exhibitor Registration - CASQA members who purchase a booth receive a one (1) three-day exhibitor registration - non-members do not receive a complimentary exhibitor registration. Any additional exhibitor booth attendants may purchase a conference registration or, if not attending the conference sessions, must purchase an Exhibitor Registration ($175 for the conference). This covers admission to the exhibitor hall and lunch for all days of the conference. For example, a non-member purchases a booth and will have 3 people coming to help with the booth - one person receives the full conference registration as a part of the booth purchase, however the other two people will have to either purchase a conference registration or an exhibitor registration to attend.

Lead Retrieval System / Badge Scanners -  CASQA is offering lead retrieval systems to exhibitors again this year. It is a scanning device that will help exhibitors track valuable attendee information quickly by scanning the barcode located on each attendee badge. Exhibitors may purchase this device for $300 through 1stSales and it will be set-up in your booth upon your arrival at the show.   • Basic Exhibitor Information - booth information, move in and set up, hall hours, tear-down, and registration and check-in
  • Freight/Material Handling
  • Exhibit Rules, Policies and Regulations
  • Contract for Space - This must be completed and returned to the exhibitor coordinator
  • Exhibitor Badge Form - This must be completed and returned to the exhibitor coordinator

  • Exhibitor agrees to exhibit for the hours specified and abide by the conditions established by CASQA and the Hyatt Regency, Monterey for the exhibits.
  • Exhibitor assumes responsibility and agrees to indemnify and defend CASQA and its agents against any claims or expenses arising out of its use of the exhibition premises.
  • Exhibitor understands that CASQA does not maintain insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance.
  • Exhibitor agrees that noise levels within the exhibit hall will be required to be reduced when the workshops are in session.
  • Cancellation of an exhibit space will be converted to a Gold sponsorship of the 2011 CASQA conference. Due to planning and printing deadlines, exhibitors converted to sponsors may receive limited recognition, however, efforts will be made to accommodate any changes. If CASQA is able to resell or otherwise reallocate a previously sold exhibit space, CASQA may consider refunding all or a portion of the purchase price to the previous purchaser.
  • Exhibitor understands that they will be acknowledged for their participation in the 2011 CASQA conference with a general listing of company names on the CASQA conference website www.stormwaterconference.com until December 31, 2011.
